Louisville Folk School Program Assistant

As LFS continues to grow, the Program Assistant will play a pivotal role in our most significant area of growth: community-based programs and events. Position Summary:
The Program Assistant supports LFS’s mission by managing and coordinating programs outside of in-house lessons and classes. Reporting to the Executive Director, the Program Assistant ensures the smooth operation of grant-funded community programs, public performances, and special projects, helping to grow LFS's presence in the community.

This role involves managing programs that vary seasonally, with some responsibilities continuing year-round. The ideal candidate will be highly organized, adept at tracking multiple projects, and able to report on program success and outcomes.

Key Responsibilities:

Elementary School Performances and Community Programs:

  • Serve as the primary point of contact for booking, advancing, and running sound for elementary school performances/assemblies.
  • Provide on-site support for grant-funded programs at community centers and after-school venues, ensuring smooth operations and program success.
  • Oversee student showcases, managing stage operations and sound engineering as needed.

Summer Camps:

  • Manage supplies and logistics for LFS summer camps.
  • Ensure efficient camper check-in/check-out procedures and uphold safety standards.
  • Liaise between camp leaders, Waldorf School of Louisville, and LFS administration.
  • Offer support for camp leaders as needed.

Public and Community Performances:

  • Book and advance performances for LFS performing artists.
  • Coordinate and execute public performances, including serving as sound engineer, stage manager, merch table attendant, and ticketing/check-in as needed.
  • Assist in promoting public-facing events by maintaining and updating the LFS events page and submitting event details to platforms such as Do502, Gotolouisville.com/events, the WFPK concert calendar, LEO Weekly, Great Day Live, and others.

Live Sound Duties:

  • Set up, operate, and maintain sound equipment for live events.
  • Conduct sound checks, adjust settings, and troubleshoot audio issues in real time.
  • Monitor and ensure high-quality sound throughout performances.
  • Maintain and inventory sound equipment and supplies.

Administrative Support:

  • Manage contractor payments, including entering pay into My Music Staff.
  • Respond to performance inquiries, coordinate contracts/invoices, and communicate with LFS performing artists.
  • Develop and oversee membership campaigns, member benefits, and member-exclusive events.
  • Support additional organizational priorities and initiatives as directed by the Executive Director.

Skills and Qualifications:

  • Demonstrated project management skills, with the ability to plan, execute, and evaluate programs effectively.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and the ability to manage multiple projects and deadlines simultaneously.
  • Knowledge of folk music and its cultural significance is preferred.
  • Experience as a live sound technician, with a solid understanding of audio equipment and acoustics, is preferred, with the potential for on-the-job training.
  • Technical proficiency in G Suite (Google) apps and other project management tools.
  • Physical ability to lift and move heavy sound equipment.
  • Flexibility to work evenings, weekends, and holidays as needed.
  • Travel: This role requires travel to multiple venues; reliable transportation is necessary.

Schedule and Compensation:

  • Weekly Hours: Up to 20 hours per week
  • Pay Rate: $25/hour
